Mission of the role

As People & Culture Expert, you are part of a small but impactful People & Culture team – the Head of People & Culture and one other Expert. You make things work – reliably, precisely, and with genuine care for people. You are accountable for HR administration, payroll coordination, employee support, office operations, and some of the internal processes that hold the organization together.

This is a hands-on generalist role where results come from breadth, ownership, and the ability to move fluidly between disciplines. One morning you’re supporting a complex international employment case. That afternoon you’re coordinating the monthly payroll submission, updating an internal policy, or planning the next team event. You don’t wait to be asked. You see what needs doing and you do it – carefully, consistently, and in line with how Cobuilder operates.

Responsibilities are shared and interchangeable with your colleague. You cover each other across all People & Culture topics, which means your willingness to learn across areas is as important as your existing expertise.

Requirements for the role:

  • Experience in HR administration, payroll coordination, HR operations, or a closely related role – ideally gained in an IT or technology-driven environment.
  • Good understanding of payroll processes, employment administration, and HR documentation across the employee lifecycle. Experience working with external payroll providers and legal or employment partners, coordinating with Finance and IT, and supporting employees directly on HR matters.
  • Strong organizational skills and close attention to detail.
  • A proactive, hands-on approach – you act before being asked, you follow through, and you hold yourself accountable for outcomes.
  • A genuine generalist mindset: breadth energizes you and you take pride in owning a wide territory well.
  • Very good written and spoken English is essential.
  • Self-awareness and the ability to recognize when you are stretched – asking for support before it affects delivery, rather than absorbing pressure silently.

Main responsibilities include:

HR administration & payroll coordination

You are the first point of contact for employee questions on payroll, holidays, absences, deductions, and benefits. You coordinate additional agreements related to role, salary, or contract changes – working closely with our external legal and employment providers to ensure documents are accurate, compliant, and issued on time. You collect and submit monthly payroll data to external providers, ensuring accuracy and timeliness. You coordinate internal moves and leaver processes end to end – final payroll input, system access termination, and close collaboration with Finance and IT. You maintain HR data, work time systems, employment documentation, and internal policies with precision and consistency.

Employee support & HR case handling

You support employees through the full employment lifecycle – from onboarding documentation to HR cases, employment arrangements, and payroll setups. You navigate these situations confidently, know when to escalate to the Head of People & Culture or to an external provider, and follow through until cases are resolved. You are a dependable, discreet, and calm point of contact when situations are sensitive or unclear.

Process maintenance & improvement

You maintain what exists and flag where it can be better. You support the team in keeping HR processes reliable and up to date – updating policies, improving documentation, and ensuring nothing falls through the cracks during organizational changes. You bring ideas when you spot a gap, and you implement improvements in close collaboration with the Head of People & Culture.

Office management & internal events

You manage day-to-day office operations, supplier relationships, and benefits administration, coordinating with external providers to keep things running smoothly. You organize company events, team celebrations, and team-building activities – bringing the same care and attention to detail to internal culture as you do to employment documentation.
